Natividad is seeking to fill a permanent full-time Supervising Office Assistant I in the Records and Retention Department. The Supervising Office Assistant I plans, organizes, and directs the work of clerical staff responsible for various clerical functions varying complexity and scope. This individual is responsible for the daily oversite of staff supporting critical front end operations, and must coordinate resources to meet deadlines while maintaining high standards of customer service.
Specific Skills
- Modern office methods and procedures including filing systems and standard office equipment.
- English grammar including sentence structure, punctuation and spelling.
- Assigned department relationships, organization, programs, services and functions to effectively plan, prioritize, coordinate, implement, direct, review and evaluate the work assigned to clerical support section.
Skill and Ability to:
- Plan, review and direct the work of subordinate staff.
- Evaluate employee's work performance and suggest alternative work methods or training to resolve work problems or improve work performance.
- Work with a minimum of supervision
- Speak and write effectively.
- Devise and adapt work procedures and record keeping systems to meet changing needs.
- Understand, interpret and independently apply laws, rules and regulations to specific situations.
- Establish and maintain effective working relationships with those contacted through the course of work.

SIGNIFICANT RESPONSIBILITIES OF THIS POSITION
- Supervises a clerical staff; assigns and reviews work; trains and gives instructions to subordinate staff; prepares performance evaluations; makes effective recommendations for hire; recommends and initiates disciplinary actions.
- Maintains an even flow of work within the unit· monitors and establishes priorities plans and assigns work; prepares work schedules and vacation plans.
- Confers with superiors on operation and modification office clerical systems and procedures recommends writes and implements changes into procedures or policies; reviews, designs and implements office forms; through subordinate staff establishes and maintains filing systems.
- Interprets policy and complex procedures for subordinate staff; weighs and selects among conflicting, ambiguous or contradictory guidelines in order to resolve situations; consults with management staff as necessary.
- Coordinates unit clerical activities with other related functional units.
- Translates general instructions from technical and administrative sources into detailed operating procedures; instructs staff on their use.
Additional Requirements
- Natividad requires that all incumbents pass a pre-employment physical/medical assessment.
- Natividad will conduct a thorough background and reference check process which includes a Department of Justice fingerprint check.
- Employees who drive on County business to carry out job related duties must possess a valid CA Driver License for the class vehicle driven and clean driving record.
- Employees must have and show their original Social Security Card and a valid CA Driver License or CA State ID prior to the first day of work.
- Incumbents may be required to work all shifts, including weekends and holidays;
- Incumbents may be required to work with potentially hazardous and infectious substances.

Educational Requirements
A typical way to acquire the knowledge, skills and abilities listed above is: Experience:
Four years of increasingly responsible clerical experience of which at least two years shall have been in a lead/supervisory capacity.
Or Two years of experience in a class comparable to that of Principal (Clerk) Office Assistant in Monterey County which included at least one year of supervisory experience.Experience Requirements
